1Account Registration and Eligibility
- You must provide accurate, complete, and up-to-date personal information, including your full name, valid email address, and academic level (Tertiary or Senior High School).
- Each user is responsible for maintaining the confidentiality of their login credentials and for all activities performed under their account.
- Only one account is allowed per person. Duplicate or shared accounts may be archived.
2Mandatory 3-Day Vehicle Registration Policy
- Newly created Registered User accounts must register at least one (1) vehicle within three (3) days from the date and time of account creation.
- If no vehicle is registered within 3 days, the system will automatically delete the account, and you will need to create a new account if you wish to use the system in the future.
- A reminder notice is shown on your dashboard and sent to your notification inbox.
36-Month Vehicle Registration Validity and Renewal
- Every registered vehicle is valid for six (6) months from its date of registration or last renewal.
- Upon reaching the 6-month expiration date, the vehicle status will be marked as Expired, and you must re-register/renew your vehicle through your Registered User dashboard to maintain active campus parking authorization.
- You must upload clear, valid, and authentic vehicle photos (including a readable license plate image) during registration and renewal.
4Vehicle Information and Document Accuracy
- You may only register vehicles that you own, or are authorized to drive, to the campus.
- The plate number, vehicle type, and description you submit must match the actual vehicle.
- Submitting false, altered, or borrowed vehicle information may lead to rejection of the registration and archiving of the account.
- You must update your registration if your vehicle or plate number changes.
5Account Security and Login Attempt Policy
- To protect user accounts from unauthorized access, SmartPark enforces a strict login attempt policy:
- 3 failed login attempts: 1-minute temporary cooldown.
- 6 failed login attempts: 5-minute temporary cooldown.
- 9 failed login attempts: Your account will be Locked Out, and self-service password reset ("Forgot Password") will be disabled.
- If your account is locked out, you must visit the Staff Office in person to verify your identity and have your account name and password restored and reset.
- You must not share your password. Report any suspected unauthorized access to the Staff Office immediately.
6Automated Camera and ANPR Vehicle Monitoring
- By registering your vehicle and entering the campus parking facility, you consent to automated monitoring via AI-powered cameras, Automatic Number Plate Recognition (ANPR), and real-time parking slot occupancy detection.
- The system automatically logs your vehicle's entry and exit timestamps, detected plate number, assigned parking slot, and camera snapshots for security verification and parking management.
- Automated detection may occasionally be inaccurate. Security guards and staff may manually verify or correct records.
7Proper Parking Conduct and Slot Compliance
- Registered Users must park only within designated and available parking slots appropriate for their vehicle type.
- Users must follow traffic signs, gate barriers, speed limits, and instructions from campus security guards and parking staff at all times.
- Falsifying, obscuring, or tampering with vehicle license plates or registration details is strictly prohibited and may result in immediate account archiving or suspension.
8Prohibited Activities
- Using another person's account, or allowing others to use yours.
- Attempting to bypass, disable, or interfere with the cameras, gates, or any part of the system.
- Attempting to guess passwords, exploit vulnerabilities, or access data that does not belong to you.
- Parking in reserved, restricted, or blocked areas, or leaving a vehicle unattended in a way that obstructs traffic.
- Submitting inappropriate, offensive, or misleading content through any form in the system.
9Notifications and Communication
- SmartPark may send you notices through your dashboard, notification inbox, and registered email address, including reminders, expiry alerts, and messages from Staff.
- You are responsible for checking your notifications regularly and keeping your email address valid.
- Missing a notice does not extend any deadline stated in these terms.
10Profile Changes and Account Updates
- To protect record integrity, changes to your registered name or profile details may require a request that is reviewed and approved by Staff.
- Staff may ask for proof of identity before approving any change or restoring access to your account.
11Data Privacy and Confidentiality
- All personal details, vehicle records, uploaded photos, and parking logs collected by SmartPark are used solely for campus security, parking allocation, and authorized monitoring in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173).
- Your information will only be accessed by authorized Administrators, Staff, and Security Personnel.
- Records are retained only as long as needed for security, auditing, and parking management purposes.
12Limitation of Liability
- While SmartPark provides camera monitoring and automated access tracking to enhance security, the institution and parking management are not liable for any loss, theft, or damage to vehicles or personal belongings left inside parked vehicles. Drivers are advised to lock their vehicles and secure all valuables at all times.
- SmartPark is not responsible for temporary service interruptions caused by power, network, or equipment issues.
13Account Archiving, Suspension, and Termination
- Parking Staff and Administrators reserve the right to archive, suspend, or restrict any account found violating campus parking regulations or submitting inaccurate vehicle information.
- Archived accounts are hidden from active use but their records are preserved for auditing purposes.
- Accounts without a registered vehicle after 3 days are deleted automatically as stated in Section 2.
